
CHAPTER VOLUNTEER POSITION DESCRIPTION

ROLE PROFILE
·
As Chapter Secretary, you are the primary
administrative resource (in the absence of a Chapter Administrative Assistant)
for a dynamic grassroots MADD Canada Chapter within your community. You will work collaboratively with fellow
board members; community partners and the national office to support our mission.
·
1-2 year term, 3-5+ hours / month.
PREREQUISITE
·
Be an active Chapter member.
RESPONSIBILITIES: KEY TASKS / ACTIVITIES
·
Prepare agendas and record minutes during monthly board
/ Chapter meetings, annual general meetings and / or general meetings.
·
Ensure that all Chapter correspondence, including
Chapter agendas and minutes are filed and distributed systematically and in a
timely manner.
·
Maintain board and Chapter (volunteer & membership)
records accurately.
·
Maintain regular contact / communication with the Chapter
President; fellow board members; committee chairs, etc…
·
Forward Chapter specific records and data to the
national office in a timely manner. (i.e., new membership & minutes monthly
and membership renewal & compliance audit form on an annual basis).
·
Assist the Chapter President (in the absence of a
Chapter Administrative Assistant) with the receiving and monitoring of all
Chapter correspondence and inquiries (this includes emails, phone calls, mail,
etc…).
·
Assist the Chapter President, Vice-President or directors
/ committees with any required correspondence (this includes any letters,
mailings, flyers or documentation).
·
Work collaboratively with fellow board members; your
community; community partners (i.e., police, fire, emergency medical services,
media, schools, health department, local merchants, companies, etc…) and the
national office.
·
Be knowledgeable about MADD Canada’s policies,
programs and services.
·
Act as a signing officer for the Chapter (as
required).
·
Promote the Chapter positively within the community.
·
Act as a spokesperson & community liaison for the
Chapter (as required).
·
Actively seek opportunities to partner and build
strategic alliances / partnerships within your local community.
·
Lead by example.
·
Share your skills and expertise administratively.
·
Meet new people and learn new skills.
·
Gain new insights and experiences.
·
Explore and / or confirm career opportunities.
·

You enjoy taking minutes, preparing agendas and
writing letters.

You have experience preparing reports, data entry,
documents and mailings.

·
You have prior experience serving on a board of directors
(preferred, but not required).

You will be supported and trained by fellow board members
and / or the Chapter Administrative Assistant.
